Delete process
QMS Administrators, Model Administrators and Process Editors have the ability to delete processes.
Process deletion within release management is subject to a workflow similar to that which determines content editing and creation.
Important
We do not recommend deleting processes or other content. Instead consider archiving the item by moving it to Hidden Items. Refer to Hide Items page for more information. If proceeding with a deletion, be aware that you will be unable to access the process in future. We recommend you downloaded the process prior to deletion for your records, refer to Download and Print Content page.
You cannot recover a process once it has been deleted. The deletion record will show in Publication History however you will be unable to view the policy. Ageing Australia are unable to guarantee that deleted content items can be retrieved or re-loaded into your system.
Tip
You cannot delete a published version of a process if it has a duplicate that is:
- in a draft state
- awaiting approval
- marked as ‘ready to publish’
Step 1
Access the Processes tab and click on the Processes
Step 2
Single click on the process you would like to delete and the select
Tip
If the process is in a draft state (i.e. marked ‘Draft’, ‘Awaiting Approval’ or ‘Ready to Publish’), clicking Delete will remove the draft version without activating the deletion workflow. The live published version will not be deleted.
Step 3
A release management workflow appear. The deletion must be approved. Write a summary of why the item is to be deleted and click OK.
Step 4
The process is now be marked ‘Awaiting Delete Approval’. Only QMS Administrators and Model Administrators can approve and publish the deletion. Double click on the process to open it.
Step 5
Once the process is open, click Approval. You have the option to approve the deletion or revert it. If you want to continue with the deletion, click Approve Deletion.
Step 6
A release management workflow appears. Edit the summary of why the item will be deleted (if required). You also have the option to select who approved the deletion, the date on which it was approved. Click Approve to commit changes.
Step 7
The process is in a ‘Delete on Publish’ state.
Step 8
To finalise your deletion, click Publishing. You have the option to revert or finalise the deletion.
Important

Click Delete Immediately and a release management workflow appears. Edit your summary of why the item will be deleted (if required) and click

A release notes window appears. Write official release notes about the deletion. You can edit the release notes later if required. The table below provides a summary of each section.

Email all users when this News Item is published | If selected, all QMS users in your organisation (provided they have activated their account) will receive an email notification about the release at 5:30 am AEDT/AEST the following day. |
Step 11
Click Publish to confirm deletion. The process will no longer be visible or searchable for any users. QMS Administrators and Model Administrators can view the deletion in Publication History.
